Tracking Jobs: Why is it so awesome?
We manufacture custom jewellery by the quantity, but you already know that. After all, we’re wholesalers.
What you don’t know is that until recently, the only way we could get work done properly was by following our customers’ instructions – your instructions, strictly through phone calls and emails.
With a massive amount of emails received each day, searching for specific emails to find the proper dialogs between ourselves and a particular customer became a pain. Why? Well, it was the time wasted. In other words, the time we spent searching sometime for an email took up to 20 minutes.
But the worst part was following instructions from the wrong email conversation and applying them to an actual job. Mistakes became a highly potential risk, and the main cause for money loses and the increase of a bad reputation with our customers.
So we came up with a solution. A solution that will save both your and our time and money. It is Tracking Job, a job creator, and a job tracker system – the first of it’s kind in the jewelry wholesale trade.
Tracking Jobs is a system we built where you can create new custom jewellery jobs, get estimates and follow through on any customer jewellery work that you’ll be creating with us.
Through Tracking Jobs, you’ll be able to upload your images or sketches, consult with us before starting on a job, and modify existing jobs. You will also be able to find the history of any completed or cancelled custom jewellery job you’ve done with us in the past.
Each and every custom jewellery job that you’ll be opening on Tracking Jobs will have its own Discussion Platform. The Discussion Platform is like a dialog page between us and you.
Jewellery manufacturing can become very detailed and any mistake can become costly. Therefor, we invested a huge amount of energy and money to come up with something that is extremely simply to use. A tracking system that is so easy to follow so the chances of making mistakes along the process of creating custom jewellery will be at 0.
We also took into consideration the fact that many members of the custom jewellery trade are what we call ‘old school’ and have difficulty using the tools given by the digital world. Once you will log into your account you will realize that we created only four categories: New Jobs, Jobs Under Discussion, Jobs in Progress, and Archived Jobs.
The procedure is simple. From the moment you are logged into your account, you will see a button that says: New Jobs.
Click on it and it will bring you to a page where you can create a new ticket for a custom jewellery creation.
Once you started a new job ticket, you’ll see on the left that we offered you the option to insert all relevant information regarding that specific job, and they’re almost all optional. You can insert you reference number, your customer’s name, the name of the sale’s person (your employee) that is in charge of this job, and the content of the package/job that we’ll receive in case you send to us something, say a diamond or gold.
On the right you’ll see a big gray box. If you click on it, it’ll open your computer browser where you can find images or sketches from which you can send examples when creating your custom jewellery. You can upload up to 10 images.
We made it mandatory to upload at least one image. Why? Because we believe that it takes at least one image or sketch in order to get your jewellery right. If you really don’t have one, you can upload a picture of you or your dog – it doesn’t really matter.
Once you opened and completed filling the necessary details for a new job on Tracking Jobs, you have one of two options:
Click on the ‘Let’s Get an Estimate’ button.
Click on the ‘Let’s Go Ahead’ button.
It is obvious that if you’d like to proceed directly in creating a new job, then option number 2 will be the right choice.
However, if you only wish to get an estimate, then option number 1 is the right choice for you.
Click on the green button that says ‘Let’s Get an Estimate,’ and that’s it.
Now we both received an email with your request. All that’s left for you to do is to wait about 15 minutes before getting you answer.
In case you decided to click option number 2 when you opened a new job in order to give us an immediate ‘Go Ahead,’ then a small pop-up widow will show up. It will ask you how do you wish to go ahead? You can choose to either, go ahead and complete, go ahead but first receive a rendering for approval, or go ahead a receive a wax for approval.
If you first asked for an estimate, then your job will be listed in the page where ‘Jobs in Discussion’ can be found. If you wish to give us a go ahead from there, no problem. All you need to do is look to the right of the screen where you’ll see a heading that says: Job Details. Right underneath you will see a button that says: Go Ahead on This Job. Click on it, and a small pop-up widow will show up. It will ask you how do you wish to go ahead? You can choose to either, go ahead and complete, go ahead but first receive a rendering for approval, or go ahead a receive a wax for approval
Each and every job has its own Discussion Platform. This means that whenever you wish to comment or ask us something, all you need to do in go to the home page. If you still haven’t given us a ‘go-ahead’ on a job, then you will find it listed (together with other possible discussed jobs) in the ‘Jobs in Discussion’ tab. If you already given us a ‘go-ahead’ then you will find it listed (together with other possible jobs) in the ‘Jobs in Progress’ tab.
No job will appear in more than one tab. After all we’re trying to keep things organized.
Anytime you want to discuss a job from a list of jobs (whether in ‘Jobs in Discussion’ or ‘Jobs in Progress’), just click on the square that says ‘View conversation & keep discussing this job’ and it’ll take right into the discussion platform for that particular job.
Whenever a rendering for a particular custom jewellery job is ready for you to view, you will receive an email notification updating you about it’s status. You’ll be able to find these renderings in the Discussion Platform for that custom job under a button called: ‘Show rendering v1’ or ‘Show rendering v2.’
Take a look and comment in case you wish that we change something or if you wish we proceed and finish up that job.
One of Tracking Jobs’ many beauties is that you don’t need to keep the www.trackingjobs.com open all the time.
Anytime a change will be made for any specific custom job registered on Tracking Job, you will receive an email notification. In each and every email you’ll find a ‘Click Here’ button that will redirect you straight to the Discussion Platform for that particular job.
This will avoid any misunderstanding of possibly misread updates.
